PROCEDURES FOR PROGRAM EXTENSIONS BEYOND TERMINATION DATES

Time extensions are not automatic or guaranteed. An extension is only granted when there is indication of substantial progress toward completion.

An extension request is handled by the Graduate Advisor who makes an application to the Dean of Graduate Studies on behalf of the student. Here is the procedure:

-print a copy of the Request for Extension Form: http://web.uvic.ca/gradstudies/forms.php

-general information should be completed by the student however

-the rationale for the extension as well as the month-by-month timeline should be completed by the student's supervisor. If the supervisor is unable to fill out the form, an email from the supervisor attached to the form should suffice.*

-submit the completed form with any associated papers to the EDCI Graduate Secretary who will have the form signed by the EDCI Gradaute Adviser and send it to the Graduate Studies office.

-students applying for an extension will receive a letter from the Dean of GRauate Studies office regarding their descision to grant the extenson or not.

 

*A time line that has been approved by the supervisor(s), which anticipates the dates for completion of significant milestones of the project. Normally an approved proposal should be done before an extension request is made. For example:

    1. If required, date when application to Human Research Ethics Board is to be submitted or a waiver requested.
    2. Estimation of time required to complete any field work or data collection.
    3. A reasonable timeline for completion of writing, such as July 2006 DRAFT 1 of Chapter 3, Sept. 2006 DRAFT 1 of Chapter 4…
    4. A potential date of oral comprehensive examination, for example, April 2007. Remember that all degree requirements, including the oral comp exam and any last minute revisions that arise from that exam, must be completed by the last working day of the proposed extension termination date. Normally the same month as the oral comprehensive exam.
